Contract 5-10 hours a week $18-$20 per hour must be a 1099 contractor Virtual Personal Assistant to support C-Suite Goals in various administrative tasks, including managing email campaigns, client billing, data management, website updates, social media management, and virtual event coordination.
Key
Responsibilities:
1.
Email Campaign Management:
- Plan, create, and execute monthly email campaigns using Flodesk.
- Segment email lists and ensure timely delivery.
2.
Client Billing:
- Manage all client billing activities using Salesforce and Square - Keep accurate records of billing information and transactions both in Salesforce and Google Sheets.
- Address billing inquiries and discrepancies promptly via email.
3.
Data Management:
- Maintain and update spreadsheets with client information.
- Ensure data accuracy and integrity.
- Assist in data analysis and reporting as needed.
4.
Website Maintenance:
- Update and maintain the company website on Wix.
- Create and manage event pages on the website, linking events, and writing copy.
5.
Social Media Management:
- Create social media posts and write copy for LinkedIn, Instagram, & Facebook.
- Schedule and publish social media posts using appropriate tools.
- Monitor and respond to social media comments and messages.
- Utilize and regularly update Linktree to optimize the company's profiles, ensuring that followers can easily access important links and resources.
6.
Event Coordination:
- Coordinate and schedule monthly virtual meetings on Zoom.
- Assist in planning and organizing online events.
7.
Client Communication:
- Handle routine client communication and inquiries.
- Provide exceptional customer service and support to clients as needed for CEO.
8.
Calendly Management for CEO:
- Maintain and update the CEO's Calendly scheduling tool, ensuring availability accuracy, blocking off time for important meetings, and making necessary adjustments to the CEO's schedule as requested.
9.
Gift Sending:
- Send out client gifts as needed, ensuring timely delivery and a personal touch.
10.
Adhoc Requests:
- Tackle various adhoc tasks and projects as assigned by CEO.
- Adapt to changing priorities and deadlines effectively is a MUST!
Qualifications:
Proven experience as a Virtual Personal Assistant or in a similar role.
Proficiency in email campaign management tools (e.
g.
, Flodesk), CRM systems (e.
g.
, Salesforce), and spreadsheet software (e.
g.
, Microsoft Excel AND Google Sheets).
Familiarity with website platforms (e.
g.
, Wix) and social media management tools.
Excellent written and verbal communication skills.
Strong organizational and time-management abilities.
Attention to detail and a commitment to accuracy.
Ability to work independently in a remote environment.
Proficiency in Zoom for online meeting coordination.
Customer service-oriented mindset.
